Privacy Policy

Planet6 is committed to providing quality managed IT services to our clients and to protecting the personal information entrusted to us. We recognise that responsible information handling is fundamental to the trust our clients place in us, and we take that responsibility seriously.

Planet6 has adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). The APPs govern how organisations collect, use, disclose, store, secure, and dispose of personal information.

A copy of the Australian Privacy Principles is available from the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

What Is Personal Information and Why Do We Collect It?

Personal information is any information or opinion — whether true or not, and whether recorded in a material form or not — about an identified individual, or an individual who is reasonably identifiable.

The types of personal information we may collect include:

  1. Names and job titles
  2. Business and residential addresses
  3. Email addresses
  4. Telephone and fax numbers
  5. IP addresses and website usage data

How we collect personal information

We collect personal information through a range of methods, including:

  1. In-person interviews and meetings
  2. Written or email correspondence
  3. Telephone conversations
  4. Our website, including contact forms and cookies
  5. Third-party referrals or publicly available sources

Why we collect it

The primary purpose of collecting personal information is to deliver our services, keep clients informed about relevant developments, and market our services to prospective clients. We may also use personal information for secondary purposes that are closely related to the primary purpose, where you would reasonably expect us to do so.

If you no longer wish to receive marketing communications from us, you may opt out at any time by contacting us in writing at the details provided in Section 10 of this policy.

Sensitive Information

Sensitive information is a subset of personal information that is afforded a higher level of protection under the Privacy Act 1988 (Cth). It includes information about an individual’s:

  1. Racial or ethnic origin
  2. Political opinions or affiliations
  3. Religious or philosophical beliefs
  4. Trade union membership
  5. Criminal record
  6. Health, genetic, or biometric information

Planet6 will only collect, use, or disclose sensitive information for the primary purpose for which it was collected, a directly related secondary purpose, or with your consent — unless required or authorised by law.

Third Parties

Where possible, Planet6 collects personal information directly from the individual concerned. However, there are circumstances in which we may receive personal information from a third party — for example, through referrals or business partners.

Where this occurs, Planet6 will take reasonable steps to notify the individual that their information has been received and to inform them of the purposes for which it will be used, unless doing so is impracticable or would undermine a legitimate purpose.

Disclosure of Personal Information

Planet6 will not disclose your personal information to third parties without your consent, except in circumstances where disclosure is required or authorised by law. Examples of lawful disclosure may include:

  1. Compliance with a court order or legal obligation
  2. Cooperation with a law enforcement agency
  3. Disclosure to professional advisers (such as lawyers or accountants) where necessary to deliver our services
  4. Service providers engaged to support our operations, subject to appropriate confidentiality obligations

Security of Personal Information

Planet6 takes the security of personal information seriously. We implement physical, electronic, and procedural safeguards designed to protect personal information from misuse, loss, and unauthorised access, modification, or disclosure.

When personal information is no longer required for the purposes for which it was collected, and we are not required by law to retain it, we will take reasonable steps to destroy or permanently de-identify that information.

Client file retention: Client files are retained for a minimum period of 7 years in accordance with our legal and professional obligations.

Access to Your Personal Information

You have the right to request access to the personal information Planet6 holds about you, and to request that any inaccurate or out-of-date information be corrected. To make an access or correction request, please contact us in writing using the details in Section 10 of this policy. We will respond to your request within a reasonable timeframe.

  1. There is no fee for submitting an access request.
  2. An administrative fee may apply where copies of records are requested.
  3. We may require proof of identity before releasing any personal information to ensure the privacy of all individuals is protected.

In limited circumstances, we may decline an access request where permitted by the APPs (for example, where providing access would unreasonably impact the privacy of another individual). If we decline your request, we will explain our reasons in writing.

Maintaining the Quality of Your Personal Information

It is important to us that the personal information we hold is accurate, complete, and up to date. We take reasonable steps to ensure the information we use in delivering services is current and reliable for its intended purpose.

We encourage you to notify us promptly if your personal information changes or if you become aware of any inaccuracies in the information we hold about you. Please contact us using the details in Section 10.

Policy Updates

This Privacy Policy may be updated from time to time to reflect changes in our practices, legal obligations, or regulatory requirements. The current version of this policy is always available on our website.

We encourage you to review this policy periodically. Continued use of our services following any updates constitutes acceptance of the revised policy.

Privacy Policy Complaints and Enquiries

If you have any questions, concerns, or complaints about this Privacy Policy, or the way Planet6 handles your personal information, please contact us. We take all privacy complaints seriously and will respond in a reasonable timeframe.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
